What FinCanvas does for event teams.
Costing tool tenant-zero pressure-tested on real live event production — corporate dinners through to four-day festivals.
Variant pricing for the load-in maths
Two-day vs three-day load-in. Option A (in-house crew) vs Option B (sub-contracted). Each variant lives inside the cost section — compare totals; pick what the client signs. No copying the project file.
Crew day-rate library
Save day-rates for every crew role — production manager, technical director, riggers, gangs. Pull into a project in one click. Quote consistently across the producer team; no more 'wait, what does Jay charge again?' over Slack.
FOC + optional add-ons, properly flagged
Mark complimentary items as FOC so they print on the quote without inflating the binding total. Mark optional add-ons as OPT so they read 'add to the deal' rather than 'already in the price'. The client PDF makes both crystal clear.
Common questions from event operators
Can I quote a one-day option vs a two-day option side-by-side?
Yes. Cost section variants are designed for exactly this. Quote Option A (one-day load-in) and Option B (two-day load-in) in the same section; flip the active variant before sending the quote.
How do I handle sub-contracted AV / lighting suppliers?
Add sub-contractor rates to your cost library, then pull them into projects as line items. FinCanvas tracks margin per line so you can see what you’re actually making after the supplier cost.
Does the quote PDF clearly mark FOC and optional add-ons?
Yes. FOC items render at £0 with a clear “FOC” pill; the line still appears so the client sees the value being included. Optional add-ons render with an “OPTIONAL” pill and are excluded from the binding total — the client knows what’s the price vs what’s the upsell.
Can I send the quote PDF via email from FinCanvas?
Yes — wire up Resend (we already integrate with it) and the “Send to client” action attaches the PDF + a customisable message + sets the quote status to Sent. Or just download the PDF and send from your usual mail client.
